1. Overview

My InstaFit is a fitness tracking, nutrition, coaching and community platform operated by KDM Digital LTD (“My InstaFit”, “we”, “us” or “our”).

Users can record workouts, runs, steps, nutrition and fitness progress, connect with personal trainers, participate in groups, leaderboards and competitions, and share fitness-related content.

This Privacy Policy explains what information we collect, why we use it, how it may be shared, how long it is retained and the choices available to users.

2. Information We Collect

Depending on the features used and permissions granted, we may collect:

  • Account information: Name, email address, user ID, login credentials and account status.

  • Profile information: Profile photograph, physical address where provided, age-related information, fitness goals, preferences and personal profile details.

  • Health and fitness information: Workouts, exercises, steps, distance, calories, heart-rate information where available, nutrition logs, body measurements, progress and activity history.

  • Location information: Precise or approximate location when required for running, route tracking or other location-based features.

  • User content: Photographs, messages, trainer communications, competition entries, support messages and other content submitted through the app.

  • Purchase information: Membership level, subscription status and purchase history. Payment-card details are processed by the relevant payment provider and are not stored directly by My InstaFit.

  • Device and diagnostic information: Device type, operating system, app version, crash reports, performance information and security logs.

  • Support information: Information supplied when contacting customer support or requesting account assistance.

3. How We Use Information

We use collected information to:

  • Create, authenticate and manage user accounts.

  • Provide workout, nutrition, activity and progress-tracking features.

  • Synchronise health and fitness information with the user’s permission.

  • Provide personal-training, coaching and community functionality.

  • Display profiles, leaderboards, challenges and competition results.

  • Process and maintain memberships and purchases.

  • Respond to customer-support and data-rights requests.

  • Maintain app security, prevent fraud and investigate misuse.

  • Diagnose crashes and improve performance and reliability.

  • Comply with legal and regulatory obligations.

We do not sell personal information, health information or fitness information. Health and fitness information is not used for advertising.

4. Health and Fitness Data

Health and fitness information is collected or accessed only after the user provides the necessary permission. This may include information obtained through Apple Health, HealthKit, Android Health Connect, motion and fitness services, or information entered directly by the user.

Users can disconnect Apple Health or Android Health Connect at any time through their device or app settings. Disconnecting these services stops future synchronisation but may not automatically delete information that was previously imported.

Users can request the deletion of previously imported health and fitness information through the app or by contacting us.

Health and fitness information is used only to provide fitness, activity, nutrition, progress and coaching functionality. It is not sold, used for advertising or shared with data brokers.

5. Location Data

Location access is optional and is used only when required for features such as run tracking, route recording, distance calculation or nearby services.

Users can disable location access through their device settings. Some location-based features may not function after permission is disabled.

6. Community and Personal Training

Users may create profiles, communicate with trainers, join personal-training groups, participate in leaderboards and share content with other members.

Information intentionally posted in community areas may be visible to other users. Users should avoid publishing information they do not want other people to see.

Users are responsible for the content they submit. We may remove content that violates our terms, community standards or applicable law.

Information shared privately with a personal trainer or coach will be made available only to the trainer or coach selected or authorised by the user, together with service providers required to operate the relevant functionality.

7. Competitions

Verified personal trainers may organise competitions, challenges or giveaways. Applicable rules, eligibility requirements and prize information must be provided for each competition.

Apple and Google do not sponsor, administer or endorse competitions offered through My InstaFit.

8. Payments and Subscriptions

Premium memberships may unlock additional app features, content, storage or coaching services.

Purchases made through the Android or iOS app are processed according to Google Play and Apple App Store billing requirements. Website payments may be processed by an authorised payment provider, such as Stripe, where permitted.

We may receive transaction identifiers, subscription status, membership tier, renewal status and purchase history. We do not directly receive or store complete payment-card details.

9. Sharing of Information

We may share information only when necessary with:

  • Hosting, database, authentication and cloud-service providers.

  • App analytics, diagnostics and security providers.

  • Payment processors and app-store billing providers.

  • Personal trainers or coaches selected or authorised by the user.

  • Professional advisers, regulators or law-enforcement authorities where legally required.

  • A successor organisation if the business is reorganised, merged, sold or transferred.

Service providers may process information only for the services they have been contracted to provide and must handle it securely.

We do not sell personal information, health information or fitness information to third parties or data brokers.

10. Data Retention and Deletion

KDM Digital LTD retains personal information only for as long as necessary to provide and secure My InstaFit, comply with legal obligations, resolve disputes, prevent fraud and enforce our agreements.

Our standard retention periods are:

  • Account, profile, workout, nutrition, activity, location, health and user content: Retained while the user’s account remains active.

  • Account deletion requests: Following a verified deletion request, the account and associated personal information will be deleted or permanently anonymised from our active systems within 30 days.

  • System backups: Residual information may remain in encrypted backups for up to 90 days before being automatically overwritten or deleted. Information held in backups is not used for other purposes during this period.

  • Customer-support communications: Retained for up to 24 months after the request or enquiry has been resolved.

  • Security, login and diagnostic records: Retained for up to 12 months unless the information is required for longer to investigate fraud, misuse, abuse or a security incident.

  • Payment, transaction, invoice and accounting records: Retained for the period required by applicable tax, accounting and legal obligations, which may be up to seven years.

We may retain specific information for longer where required by law, necessary to establish or defend legal claims, required to prevent or investigate fraud or misuse, needed to resolve a dispute, or subject to a lawful preservation request.

Where information must be retained after an account deletion request for one of these reasons, access will be restricted and the information will not be used for unrelated purposes.

When an applicable retention period ends, the information will be securely deleted or permanently anonymised.

Aggregated or anonymised information that can no longer identify an individual may be retained for analytics, research, security and service-improvement purposes.

Temporary account deactivation, suspension or freezing does not replace permanent account deletion.

11. Security

Personal information is encrypted during transmission. We use authentication controls, access restrictions and other reasonable organisational and technical safeguards to protect stored information.

Access to personal information is limited to authorised people and service providers who require access to operate, maintain or support My InstaFit.

No internet service can guarantee absolute security. Users should protect their login credentials and notify us if they suspect unauthorised access to their account.

12. User Rights

Depending on the user’s location, users may have the right to:

  • Access personal information held about them.

  • Correct inaccurate or incomplete information.

  • Request a copy or export of their information.

  • Withdraw consent for optional processing.

  • Object to or restrict certain processing.

  • Request deletion of their account and associated information.

  • Submit a complaint to an applicable data-protection authority.

We may need to verify the requester’s identity before completing a request. Verification information will be used only to confirm the requester’s identity and process the request securely.

13. Children

My InstaFit is not intended for children below the minimum age permitted by applicable law.

We do not knowingly collect personal information from children who cannot legally consent to its processing. If we discover that such information has been collected, we will take reasonable steps to delete it.

A parent or legal guardian who believes that a child has provided personal information without appropriate permission should contact us at support@myinstafit.com.

14. International Data Processing

Information may be processed in countries other than the user’s country of residence.

Where required by applicable data-protection law, we use appropriate safeguards to protect personal information transferred internationally.

15. Changes to This Policy

We may update this Privacy Policy when our services, data practices or legal obligations change.

The latest version will be published on this page with an updated version number and revision date. Material changes may also be communicated through the app or by another appropriate method.
